AFP Triad Chapter

Contract position, approximately 10 hours per week

Salary Range: $20-$25/hour


The Triad Chapter of the Association of Fundraising Professionals is seeking a part-time chapter administrator to facilitate day-to-day management and administration of the business and affairs for the chapter. The Chapter administrator will work approximately 9 hours per week. This position offers a flexible schedule and the ability to work remotely.


Key duties include:


General administration

  • Serve as a liaison between Triad Chapter and AFP Global

  • Check chapter email, voice mail and post office box: process, respond or direct appropriately

  • Using QuickBooks, maintain revenue and expenses. Produce monthly and quarterly financial reports for chapter Treasurer

  • Pay chapter invoices and reconcile accounts to bank statement

  • Work with Treasurer to develop annual Chapter budget

  • Coordinate annual audit and tax return/990

  • Coordinate account signature updates as required during chapter leadership transitions

  • Maintain electronic and hard copy files

  • Maintain board, committee and member lists and pertinent files, such as minutes, approved budgets, etc.

  • Update Chapter’s North Carolina Solicitation License annually

  • Submit annual AFP Global Chapter Accord, as required for Ten Star Gold and Friends of Diversity designations

  • Manage job listings on chapter website

  • Attend Chapter Executive Committee and Board meetings

  • Attend monthly membership meetings


Membership

  • Work with Membership Committee to engage, retain and grow membership

  • Develop and maintain membership lists, including mailing list database, non-membership data based on inquiries and other sources as appropriate. Add names of meeting and conference guests for membership outreach

  • Receive membership changes from AFP Global and update email lists, name badges

  • Produce monthly membership reports including current members, expiring this month, expiring next month for Membership Committee use

  • Communicate with members about dues renewal process

  • Assist with delivery of monthly programs and webinars

  • Work with Programming Committee to develop email announcements and meeting notices for all chapter programs and events. Schedule email distribution

  • Set up Event Registration process on website for all events

  • Coordinate monthly lunch meetings

  • Receive and track registrations, order meals, produce registration lists and nametags, send confirmation notices, send post- meeting surveys.

  • Attend monthly meetings to coordinate set up, A/V, food delivery, etc.


Marketing

  • Website updates.

  • Managing email distribution lists, facilitate meeting notices, and create email communications as needed

  • Liaison with website provider for proper maintenance and billing/payments

  • Manage annual meeting and voting for new board slate

  • National Philanthropy Day: invoice sponsors, pay vendors, and follow up to ensure payment is received

  • Assist with board packet printing/development


Skills and experience

Excellent organization and planning skills, ability to work with volunteer leaders, and be proactive. Technical skills include creating email marketing, online meeting facilitation, QuickBooks, online bill pay, bank reconciliation, meeting administration.
